Job Description for Assistant Director of High School Placement & Student Life

Young Scholars Charter School seeks energetic, organized candidate for the position of Assistant Director of High School Placement & Student Life. This position will support the Director of High School Placement & Student Life in all areas with a strong focus on guiding families through the high school planning and admissions process. The Assistant Director will play a leadership role in building our community service and afterschool programs. At the same time, the Assistant Director will have a variety of critical administrative support responsibilities, such as reviewing applications for completeness, managing records, drafting letters, corresponding with high schools and external organizations, coordinating mailings to parents and alumnae, and so on.

Applicants must be highly organized, detail oriented, able to manage multiple priorities, and have outstanding communication and interpersonal skills. Other qualifications include strong computer skills, excellent writing and editing ability, flexibility, discretion in handling confidential information, and a commitment to excellence.

About Us
Located in North Philadelphia and drawing students from across the city, Young Scholars prepares over two hundred sixth, seventh and eighth graders each year to attend selective college preparatory high schools in the region. Many enter Young Scholars performing well below grade level in reading and mathematics and yet by the time they graduate from eighth grade they are prepared for success at some of the region’s most selective high schools. Our students excel because the rigorous academic environment challenges them to do their best and because their teachers support and encourage them throughout their time at Young Scholars.

Office of High School Placement & Student Life: Key Responsibilties

  • High School Placement
  • Educating students and families on how their choice of high school will impact the child’s chances of entering and succeeding in college, and thereby his/her future career opportunities
  • Guiding students and families through the high school application process: explaining requirements, deadlines, and how to select schools that best match your students skills & needs
  • External Enrichment Opportunities
  • Researching programs that offer enrichment in academics, arts, or leadership development
  • Advocating for scholarships & financial aid
  • Matching Students to programs
  • Alumnae Services
  • Supporting our graduates who are in high school and college to help them transition into new school environments and succeed there. For instance, through school visits and mailings with information on internships or scholarships.
  • Community Service
  • Identifying & coordinating regular service projects for students, families and staff
  • Tracking service hours for students and families
  • Afterschool Programs
  • Scheduling afterschool programs –selecting programs, coordinating staff & calendar
  • Overseeing programs, maintaining attendance

Some of the responsibilities of The Assistant Director of High School Placement & Student Life:

  • Reviewing students applications for completeness
  • Corresponding with high schools regarding student applications: drafting cover letters; mailing and faxing records; calling schools to confirm status of application files
  • Communicating with parents by phone, email, mailing regarding information on high school application deadlines, requirements, and open houses, as well as external scholarship opportunities
  • Meeting with students to distribute applications, discuss application requirements, outline next steps, collect completed applications
  • Drafting & coordinating mailings to alumnae
  • Researching scholarship opportunities
  • Identifying & coordinating community service projects for students, families & staff
  • Tracking service hours for students and families
  • Identifying new afterschool programsManaging the afterschool program schedule: coordinating staff and room assignments
  • Planning afterschool program assemblies at the end of each semester
  • Maintaining attendance for afterschool programs

Qualifications

  • BA required
  • Excellent interpersonal skills. Ability to communicate effectively and positively with students, parents, staff from high schools and external programs, as well as Young Scholars staff
  • Outstanding organizational skills. Ability to create and manage neat and organized filing system for student applications, recommendations and other critical paperwork
  • Ability to multitask. Good time management skills and ability to stay focused on key priorities.
  • Demonstrated professionalism and responsibility, and a strong work ethic
  • A positive, high-energy attitude and a drive for personal excellence
  • Commitment to working in a school with a focus on closing the achievement gap for inner-city students
  • Interest or experience working with middle school students
  • The ability to problem-solve and a sense of humor are required
  • Proficient with Microsoft Word, Excel, PowerPoint, and good internet research skills

Salary & Compensation:

Salary commensurate with experience. Fully paid medical, dental and life insurance; tuition reimbursement program; enrollment in Pennsylvania State Employee Retirement System (PSERS) and 403b options.
